Welcome to AuumAI, an LP investment and operational process solution that uses artificial intelligence and other technologies to intelligently automate labour-intensive aspects of manager selection, due diligence, monitoring and analysis to enable such organisations to make better-informed decisions, respond faster to opportunities and drive strong investment outcomes.

This Privacy Policy covers personal data we collect when you use our website and the AuumAI mobile app for iOS (“the App”). If your organisation uses our platform under a Services Agreement, that agreement’s data processing terms also apply; for content your organisation adds to its AuumAI workspace, your organisation is the data controller and we process it on its behalf.

This Privacy Policy sets out how we will collect, use, process and protect your personal data.

We also tell you what your rights are and how you can contact us if you have any queries regarding your personal data.

The type of personal information we collect

When you visit our site we will collect personal data such as:

• Browsing history;
• Your IP address;
• Device details; and
• Location.

If you are uploading any user-generated content, please do not include any details of any individuals without their knowledge or consent.

Also, we do not intend to collect any Special Category Data relating to e.g. personal data revealing your racial or ethnic origin; political opinions; religious or philosophical beliefs; trade union membership; genetic data; biometric data (where used for identification purposes); data concerning health; sex life; and/or sexual orientation so please do not share any of these types of data with us.

By visiting our website we will automatically collect personal data about you (as set out above) including by use of various cookies on our website.

You may also choose to sign up to our newsletters or mailing list, so you will give us your personal data at the point of sign up.

Should you choose to use our Contact us function you will also provide us with the requested personal data like your name, email, and any such other personal information that you choose to include.

Should you upload any other user-generated content you are entirely responsible for the personal data you upload.

The AuumAI mobile app

The App is for people invited by an organisation that uses AuumAI. There is no public sign-up.

What we collect through the App:

• Account details: your name, email address and organisation, and the sign-in method you use (email and password or code, Google, or Microsoft);
• Voice notes: audio you record in the App, the transcript we create from it, the client or prospect it relates to, and when it was recorded;
• Client and prospect details you enter: for example an organisation name and web domain; and
• Sign-in and security data: device type, IP address and session information, processed by our authentication provider to keep your account secure.

Microphone: the App uses your microphone only while you are recording a voice note. Recording stops if you leave the App or lock your phone.

How we use it: to sign you in; to store your voice notes and turn them into transcripts, notes and insights on the relevant client record in your organisation’s workspace; and to keep the service secure.

AI processing: voice notes and their transcripts are sent to our AI provider, OpenAI, to transcribe them and to extract information for the client record. The App asks for your permission before your first voice note is sent. OpenAI processes this data on our behalf under its API data processing terms.

We do not sell your data, show you ads, or track you across other apps or websites.

How we Store your Personal Data

Your information is stored securely in UK data centres (London) operated by Google Cloud. AI processing is carried out by OpenAI or Anthropic enterprise APIs, which do not retain data. That processing may take place outside the UK; where it does, we rely on the appropriate safeguards required by UK data protection law.

We employ industry standard security measures in relation to our platform and if you would like more details please ask to see a copy of our Information Security Policy.

We also ensure that our employees, and service providers fully understand their obligations to keep your personal data secure and confidential and that they have signed contracts with suitable confidentiality and data processing provisions.

How long we keep your personal data for:

We will only keep your personal data for as long as we need it for the purposes for which we collected it.

Voice notes, transcripts and other content added to an organisation’s workspace are kept for as long as that organisation uses AuumAI, or as set out in its Services Agreement, and are deleted when the organisation asks us to. When you delete your account, we erase your name, email address and sign-in details from our systems.

Deleting your account

You can delete your account at any time in the App: Settings → Delete account. This permanently deletes your login and erases your name and email address from our systems. Content you added to your organisation’s workspace (such as voice notes and client notes) belongs to your organisation and stays available to it; to have that content deleted too, contact your organisation or email info@auumai.com.
